Terms for a clearer way to work.

1. Acceptance and authority

By accessing or using Elore Hub WFMS, you agree to these Terms, our Privacy Policy, and our Cookies Policy. If you use the service for an organization, you confirm that you are authorized to accept these Terms on its behalf. If you do not agree, do not access or use the service.

2. The service

Elore Hub WFMS provides cloud-based tools for payroll administration, statutory workflows, attendance, leave, contracts, performance, reporting, employee self-service, and related people operations. Features may vary by plan, organization configuration, user role, location, and integration availability.

We may improve, update, or retire features over time. Where a material change affects an active paid service, we will use reasonable means to communicate it.

3. Accounts and access

• Account information must be accurate, current, and kept secure.
• You are responsible for activity carried out through your credentials and for assigning appropriate user roles.
• Do not share credentials, impersonate another person, or allow unauthorized access.
• Organization administrators are responsible for inviting, reviewing, and removing users when access is no longer appropriate.

Tell us promptly if you suspect unauthorized access, a compromised credential, or a security issue.

4. Customer data and responsibilities

Your organization remains responsible for the employee, payroll, attendance, and other information it submits to the service. You must have a lawful basis and all necessary notices, permissions, and authorizations to collect and use that information through Elore Hub WFMS.

You are also responsible for reviewing imported data, maintaining accurate employee records, configuring approval rules, and restricting access to people who need it for their work.

5. Payroll and statutory tools

Elore Hub WFMS is designed to support Kenyan payroll and statutory workflows, including PAYE, SHA, NSSF, Housing Levy, deductions, and related records. Calculations and reminders are operational tools, not legal, tax, accounting, or employment advice.

Rates, thresholds, filing rules, employee circumstances, source data, and government systems can change. You remain responsible for verifying outputs, approving payroll, meeting filing deadlines, and obtaining professional advice where needed.

6. Payments and integrations

Where enabled, the service may connect to banks, mobile money providers, statutory portals, or other third-party systems. You authorize only the transactions and integrations your organization has approved. You are responsible for beneficiary details, account balances, approvals, transaction limits, and reconciliation.

Third-party services are subject to their own terms and availability. Elore Hub WFMS is not responsible for delays, outages, rejected transactions, or errors caused by a third-party provider or inaccurate information supplied by you.

7. Acceptable use

You may use the service only for lawful, authorized business purposes. You must not:

• Use the platform to violate law, employment rights, privacy rights, or another person's security.
• Upload malware, harmful code, unlawful material, or information you are not entitled to process.
• Probe, scan, reverse engineer, disrupt, overload, or bypass access controls.
• Copy, resell, lease, frame, or commercially exploit the service outside an agreed partner arrangement.
• Use automated scraping or extraction that creates unreasonable load or circumvents technical limits.

8. Contracts and electronic records

Where the service supports document generation, approvals, signatures, or audit trails, you are responsible for selecting the correct document, signatories, authority, and employment terms. You should obtain legal advice on whether a particular electronic record or signature meets your circumstances and applicable law.

9. Intellectual property

Elore Hub WFMS and its licensors retain all rights in the software, design, interfaces, documentation, trademarks, and service materials. These Terms grant you a limited, non-exclusive, non-transferable right to use the service during the applicable service period. You retain rights in content and data you submit, subject to the permissions needed for us to provide the service.

10. Security and confidentiality

We use reasonable technical and organizational measures to protect the service, including access controls, auditability, and encryption practices appropriate to the service configuration. No online service can guarantee absolute security.

Each party must protect confidential information received from the other and use it only for the relationship covered by these Terms, except where disclosure is required by law or necessary to provide the service.

11. Availability and support

We aim to keep the service available and responsive, but access may be interrupted for maintenance, upgrades, security measures, connectivity issues, events outside reasonable control, or third-party dependencies. We may provide support through channels and response targets communicated for your plan.

12. Fees and partner programs

Any subscription, implementation, usage, payment, or partner fees are governed by the applicable order, proposal, or commercial agreement. Calculator estimates and displayed projections are illustrative and do not create a payment obligation or guarantee of earnings.

13. Suspension and termination

We may suspend or restrict access where reasonably necessary to protect the service, investigate misuse, address a security risk, comply with law, or respond to overdue amounts. You may stop using the service in accordance with your commercial agreement.

On termination, access ends subject to any agreed transition period. We will handle customer data according to the applicable agreement and our data retention obligations. Provisions concerning confidentiality, intellectual property, liability, and dispute resolution continue where their nature requires.

14. Disclaimers and liability

The service is provided on an available basis. To the extent permitted by law, we disclaim warranties that the service will be uninterrupted, error-free, or suitable for every purpose. Elore Hub WFMS does not replace professional payroll, tax, accounting, legal, employment, or security advice.

To the extent permitted by applicable law, neither party is liable for indirect, incidental, special, consequential, or loss-of-profit damages arising from these Terms. Nothing in these Terms excludes liability that cannot lawfully be excluded or limited.

15. Changes to these Terms

We may update these Terms when the service, law, security practices, or business arrangements change. The updated version will be posted on this page with a new effective date. Continued use after the effective date means you accept the updated Terms, except where applicable law or a written commercial agreement requires a different process.

16. Governing law and contact

These Terms are intended to be interpreted under the laws of Kenya, subject to any mandatory rights or requirements that apply to you. The parties should first try in good faith to resolve a dispute through direct discussion before pursuing another lawful remedy.
